How we handle your data.

1. Who We Are

LEAP Solutions, LLC ("LEAP Solutions," "we," "us," or "our") is a Michigan limited liability company operated by AJ Poole. We build AI systems for small businesses, including the AI receptionist that may have answered when you called us. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

2. Information We Collect

When you call us

  • Your phone number (as transmitted by the carrier)
  • An audio recording and written transcript of the call, used to operate and improve the AI receptionist and to confirm details you provided (such as a requested callback number)
  • Any name, email address, or phone number you verbally provide during the call to schedule a discovery call

When you fill out a form on our website

  • Name, email address, phone number, business name, and any other fields you complete
  • Basic analytics about how you got to the form (referrer, page visited)

When you receive an SMS from us

  • Delivery and engagement metadata (whether the message was delivered, whether you replied STOP or HELP) — provided by our SMS carrier

3. How We Use Your Information

  • To respond to your request. If you called to book a discovery call and verbally gave us your phone number, we send you exactly one SMS containing a Calendly link so you can confirm the meeting.
  • To schedule and prepare for meetings you book with us through Calendly.
  • To improve the AI receptionist. Call recordings and transcripts may be reviewed by AJ Poole to fix mistakes the AI made and train future versions. Recordings are never sold and are not used for marketing.
  • To follow up on a project or consulting engagement you've explicitly asked about.

We do not sell your personal information, and we do not send marketing or promotional SMS. Our only SMS use case is transactional booking links.

4. Third-Party Services We Use

We use a small number of reputable vendors to operate our services. These vendors only see the minimum data needed to do their job and are contractually prohibited from using it for other purposes.

  • Twilio — telephony (inbound/outbound calls) and SMS delivery
  • Retell AI — the speech-to-text, LLM, and text-to-speech platform that powers our AI receptionist
  • Calendly — scheduling and calendar integration
  • Supabase — database and backend infrastructure
  • Resend — transactional email delivery
  • Vercel — website hosting
  • Stripe — payment processing (only if you become a paying client)

5. Google User Data — Limited Use Disclosure

If you connect Google services to LEAP Solutions products — for example, Google Business Profile to the LEAP Solutions client portal at portal.leaptosolutions.com — we request only the scopes required for the feature you turned on. As of this date, those scopes are:

  • openid, userinfo.email, userinfo.profile — to identify you when you sign in with Google
  • https://www.googleapis.com/auth/business.manage — to read the locations, reviews, and account information of the Google Business Profile you connect, and to post review replies you author or approve from inside the portal

What we do with Google data

  • We use Google Business Profile data only to display your locations and reviews inside the LEAP Solutions portal and to post replies you initiate.
  • We store the OAuth tokens encrypted at rest in our database (Supabase, hosted in the United States). Tokens are scoped to your organization and are never shared between organizations.
  • We retain the tokens until you disconnect the integration or delete your account, after which we revoke and delete them.

What we do not do with Google data

LEAP Solutions's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • We do not use Google user data to serve advertising of any kind.
  • We do not use Google user data to develop, improve, or train generalized AI or machine-learning models.
  • We do not sell or transfer Google user data to third parties, except (a) as necessary to provide or improve the user-facing features you have turned on, with sub-processors that are contractually bound by the same restrictions; (b) for security purposes, such as investigating abuse; (c) to comply with applicable law; or (d) as part of a merger, acquisition, or sale of assets, in which case we will notify you and provide a meaningful choice.
  • We do not allow humans to read Google user data, except (a) with your specific affirmative consent (for example, if you ask LEAP Solutions support for help with a review issue and explicitly authorize us to look at it), (b) for security purposes such as investigating abuse, (c) to comply with applicable law, or (d) where the data has been aggregated and de-identified.

How to disconnect or delete Google data

You can disconnect Google Business Profile from inside the LEAP Solutions portal at any time, which immediately revokes the OAuth token and deletes the stored credentials on our side. You can also revoke LEAP Solutions from your Google Account at myaccount.google.com/permissions. To request deletion of any other personal information we hold, email hello@leaptosolutions.com.

6. How Long We Keep Your Data

  • Call recordings and transcripts: up to 90 days, then deleted unless tied to an active customer relationship
  • Contact information you submit through a form: retained while you are a lead or customer, and for up to 2 years after our last interaction, then deleted on request or on a routine cleanup cycle
  • SMS delivery metadata: retained per Twilio's standard retention (typically 13 months)

You can ask us to delete your information at any time by emailing hello@leaptosolutions.com.

7. Your Rights

Regardless of where you live, you may ask us to:

  • Tell you what personal information we hold about you
  • Correct information that is inaccurate
  • Delete your information (subject to legal retention requirements)
  • Stop contacting you by any channel

To exercise any of these rights, email hello@leaptosolutions.com. We will respond within 30 days.

8. SMS Opt-Out

To stop receiving text messages from LEAP Solutions, reply STOP to any message we send you. You will receive a final confirmation message and no further SMS. Reply HELP at any time to get support contact info.

Message and data rates may apply depending on your carrier plan. We currently send SMS only in response to a verbal consent you provide on a phone call with us, and only to deliver a booking link. We do not share mobile phone numbers with third parties for marketing purposes. 9. Cookies and Analytics

Our website uses minimal first-party cookies for essential functionality (such as keeping you logged into LEAP OS if you are a customer). We do not run third-party ad tracking. If we add analytics in the future, we will update this policy and use privacy-respecting tools that do not identify individual visitors.

10. Children

Our services are for businesses and the adults who run them. We do not knowingly collect information from anyone under 18. If you believe a child has provided us with personal information, contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective" date at the top of this page. Continued use of our services after an update means you accept the revised policy.
